The Records & Photos screen

Records & Photos is every dated entry you've kept — photos, vet visits, treatments, microchip and vaccination documents, milestones — grouped by what they're about. Add one with the upload button; documents are read automatically so the details prefill for you to confirm.

How it's organised

Records are grouped into cards, one per animal, litter or pup, each headed by the entity's name and type (Sire / Dam, Litter or Pup) with a count of records. Anything not linked to an animal, litter or pup appears under Unlinked. Click an entity's name to open it.

What the badge on a record means

Each record can show a small coloured badge telling you whether it needs your attention. From most to least urgent:

• Check needed (red) — the document reader found a detail that clashes with what's already on file — most often a microchip number or animal name that doesn't match. Open the record and choose which value to keep. Nothing is ever changed until you decide.
• Wrong type? (amber) — the document looks like a different type than the one you filed it under (for example, a vaccination certificate filed as a microchip record). Open it and either switch the type so the right details are read, or keep your choice.
• Auto-filled (amber) — the reader pulled details from the document and they're waiting for you to confirm or edit. Open the record, check each detail, and confirm it.
• Reading… (grey) — the reader is still working through the document. The details appear on their own a moment later — the page refreshes itself.
• No badge — nothing needs your attention. That happens when the record is a plain photo, milestone or note with no document details to confirm, when you've already confirmed everything the reader found, or when the reader couldn't read anything from the file (open it to type details in by hand).

A record may also show Shared with buyer (green) when you've switched on sharing for it.

When you open a record, each individual detail the reader found carries its own badge too: Auto-filled, unconfirmed (amber) until you confirm it, then Confirmed (green). See How the document reader works.

Your Whelpkeep allowance

The meter near the top labelled Whelpkeep allowance is not a file-storage limit. It shows how much of your plan's allowance for Whelpkeep's automatic features you've used — chiefly the document reader that reads an uploaded document and fills in the details for you. It's shown as a simple percentage.

If the meter reaches 100%, those automatic conveniences pause — the bar turns red and a note appears. Nothing is lost and nothing else is blocked: you can keep uploading records and add or edit every detail by hand, free and unlimited. A free account includes a small allowance; paid plans include much more, so if you want more automatic reading, upgrading raises it.

There is no overall cap on how many files you store. The only file limits are per upload — 25 MB per file and 30 pages per PDF (see Add records & photos). For what each record field means — including sharing a record on the buyer's puppy page — see the Records reference.
